Salary Range: $40,000 to $65,000 per year

 

WOOD is a mission-driven federal contractor supporting the Intelligence Community and beyond. We are expanding our Executive Support function to build a strong foundation of operational excellence across recruiting, HR, and administrative support.

 

We are hiring an entry-level Executive Support & Talent Operations Assistant to join our team. This role is ideal for recent graduates, career changers, or administrative professionals looking to build a career in recruiting, HR, or business operations. You’ll start by supporting backend recruiting tasks and gradually take on more responsibilities aligned with your interests and strengths.

 

Security Clearance Requirements:

This position requires all candidates to be U.S. Citizens.

Responsibilities

  • Source candidates from job boards and online platforms
  • Upload and maintain candidate profiles in our Applicant Tracking System (ATS)
  • Format resumes to meet internal standards and improve readability
  • Use AI tools to screen applicants and match them to job requirements
  • Help clean and organize the ATS for data integrity
  • Support executive and administrative tasks as needed (calendar management, document prep, etc.)
  • Learn basic government contracting terminology and security protocols
  • Collaborate with recruiters and hiring managers to meet sourcing goals
  • Participate in team meetings and contribute to process improvements
  • Prepare, edit, and organize documents, presentations, and reports with precision and confidentiality
  • Track and follow up on action items across multiple departments
  • Maintain organized systems for documentation, task management, and executive workflows

Qualifications

Required Skills

  • Expert proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Strong understanding of technology and ability to quickly learn new platforms.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong written communication skills and professional demeanor.
  • Driven and goal-oriented with a focus on meeting quotas and deadlines.

Required Education

  • Bachelor’s degree from an accredited college or university.

Experience Levels

  • Entry-Level Talentt Operations & Executive Support Assistant
    • Profile: No prior recruiting experience; willing to learn. Strong organizational and tech skills.
    • Training: Provided.
    • Ideal For: College graduates, career changers, or administrative professionals seeking full-time work.
  • Junior-Level Recruiting Coordinator
    • Profile: 1–3 years of experience in recruiting or HR support. Familiarity with ATS systems and AI tools preferred.
    • Training: Minimal; expected to ramp quickly.
    • Ideal For: Junior recruiters or HR coordinators with sourcing experience.
